Contract Labour to Sign Companies Only
This page outlines the Terms & Conditions, Privacy Policy, and Cancellation Policy for Freebird Sign Services. These policies ensure clarity, fairness, and professionalism for all sign companies who contract Keith Baker for fitting and installation work.

1. Terms & Conditions
1.1 General Information
      Freebird Sign Services is operated by Keith Baker, an independent signage and graphics          fitter based in Banbury, Oxfordshire. All work is carried out personally unless otherwise          agreed in writing.
1.2 Quotations & Pricing
•    All quotations are valid for 30 days unless stated otherwise.
•    Quotes are based on the information provided at the time. Any changes to scope,                    access, materials, or site conditions may affect the final price.
•    Additional work requested on site will be charged at the agreed hourly or day rate.
1.3 Booking & Cancellations
•    Payment of the labour charge (half day or full day rate) is required to confirm any                      booking.
•    Dates can only be reserved with full payment of the labour charge.
•    Cancellations less than 3 working days before the booked date incur a £75 + VAT                    cancellation charge.
•    If a job cannot proceed due to issues outside my control (e.g., materials not ready, access        problems), there will be no refund on the labour element and any other charge that’s                been accrued (parking, congestion) will be invoiced.
1.4 Transfer of Booked Dates
You can request to move a confirmed booking to another date, subject to availability.
•    More than 3 working days’ notice: Transfer is free of charge.
•    1–3 working days’ notice: A £40 + VAT late change fee applies.
•    Less than 1 working day’s notice (or same day): Transfer requests are treated as cancellations and charged in line with the cancellation policy above.
1.5 Site Requirements
Clients must provide:
•    Safe and clear access to the installation area
•    Parking or unloading space for my van
•    All graphics, signage, fixings, and materials on site and ready
•    Accurate measurements, drawings, and installation instructions where required
•    If the site is not ready, delays may be chargeable.
1.6 Health & Safety
•    All work is carried out in accordance with UK Health & Safety regulations.
•    I reserve the right to stop work if conditions are unsafe or if required equipment is not            available.
•    Any specialist access equipment (e.g., towers, MEWPs) must be arranged and paid for by        the client unless agreed otherwise.
1.7 Quality of Materials
•    I fit signage and graphics supplied by the client or their chosen manufacturer.
•    Responsibility for the quality, suitability, and accuracy of supplied materials rests with            the client.
•    If materials are damaged or unsuitable, I will advise immediately. Additional visits may be        chargeable.
1.8 Liability
•    I am fully insured for public liability.
•    I am not responsible for damage caused by faulty materials, incorrect specifications, or            structural issues with the installation surface.
•    I am not liable for indirect or consequential losses.
1.9 Payment Terms
•    Invoices are issued upon completion unless otherwise agreed.
•    Payment terms are 14 days from the invoice date.
•    Late payments may incur interest in line with the Late Payment of Commercial Debts              Act.
1.10 Travel & Expenses
•    Travel is included within the agreed rate unless stated otherwise.
•    Long‑distance work, overnight stays, parking, tolls, or congestion charges may be added        at cost.
1.11 Photographs & Portfolio Use
•    I may take photographs of completed work for portfolio or website use. If a client                    prefers images not to be used, they must request this in writing.
1.12 Acceptance of Terms
•    By booking Freebird Sign Services, the client agrees to these Terms & Conditions.


2. Privacy Policy
2.1 Information Collected
I may collect:
•    Name and company name
•    Contact details (email, phone number, site address)
•    Job‑related information (measurements, drawings, installation notes)
•    Invoices, payments, and accounting records
•    I do not collect unnecessary personal data.
2.2 How Information Is Used
Your information is used solely for:
•    Responding to enquiries
•    Preparing quotations
•    Carrying out agreed work
•    Invoicing and accounting
•    Maintaining business records
I do not sell or share your information with third parties unless required by law.

2.3 Data Storage & Security
•    Information is stored securely on password‑protected devices.
•    Only I (Keith Baker) have access to your data.
•    Accounting records are kept for the legally required period (usually 6 years).
•    Emails and messages are retained only as long as necessary.
2.4 Your Rights
You may request:
•    A copy of the information I hold
•    Corrections to inaccurate information
•    Deletion of your information (where legally possible)

3. Cancellation Policy
3.1 Postponements
•    I will always try to accommodate a new date.
•    If the delay causes loss of booked work, a charge may apply.
•    Additional travel or accommodation costs may be re‑charged.
3.2  Cancellations by Freebird Sign Services
•    I may cancel or postpone work only in exceptional circumstances such as:
•    Unsafe working conditions
•    Severe weather
•    Illness or emergency
•    Equipment failure outside my control
•    I will notify you as soon as possible and offer the earliest available alternative date.
3.3 Materials & Third‑Party Costs
•    If materials, access equipment, or specialist tools have been pre‑booked on your behalf:
•    Any non‑refundable costs will be passed on
•    Any cancellation fees charged by suppliers will be re‑charged at cost
3.4 Communication
•    All cancellations or changes must be made in writing (email).
